The 2024 ATVBC Jamboree will be unforgettable. The Jamboree is scenically set at BC’s premier venue, Laketown Ranch. Laketown Ranch is a 250-acre modern, multi-use entertainment complex and campground in the heart of Vancouver Island, British Columbia. Laketown is coveted for its annual festivals, Laketown Shakedown and Sunfest Country Festival and is honoured to host the 2024 ATVBC AGM and Jamboree.

Laketown Ranch location provides immediate access to premium trails, lakeside rides and twisting mountain ranges for exploration on your ATV and SXS.

Notice of Annual General Meeting
of
The Quad Riders ATV Association of British Columbia
  Time and Date: Starting at 4:30 PM
Saturday September 21st, 2024  
Location: Laketown Ranch Lake Cowichan, BC   

This notice is intended for all members of The Quad Riders ATV Association of British Columbia.  
The program for the AGM meeting will include, but not be limited to:
2023-2024 Financials
President’s and Treasurer’s Report
Strategic Plan Update Election of Directors  
Voting at the AGM:  
●      A member in good standing can vote
●      Each club gets one vote. A club may vote either by the club president or a club member with written authorization from the club executive authorizing the member to vote on the club’s behalf
●      Please send written authorization to admin@atvbc.ca  
Online Zoom attendance option available. Email admin@atvbc.ca to register for online option and receive the invite and link for the meeting.    

  Join the ATVBC Board of Directors   Do you or someone you know have a few hours a month to represent your riding region at a provincial level?
Are you or someone you know interested in taking an active role in supporting the ATV / SxS sport across British Columbia?  
Riders in British Columbia have access to world-class riding areas due to the hard work of members and volunteers at the club and provincial (ATVBC) levels.  
As a non-profit volunteer-led organization, ATVBC Directors provide leadership and guide the organization’s strategic direction, governing ATVBC on behalf of its members.  

Nominations should be received via email to admin@atvbc.ca by August 31st, 2024. Nominations received after August 31st, 2024, up to the date of the AGM, and including nominations from the floor at the AGM, will be accepted and treated as write-in candidates at the time of the election.  
The Nomination form should be accompanied by a bio, no more than one page, outlining the nominee’s qualifications for the position of Director and reasons for running. A picture of the nominee is requested. Photo and bio will be used for publication in ATVBC’s newsletter, website and AGM package.

As per the ATVBC Policies and Procedures, Section 5, below are the procedures regarding nominations from the floor at the AGM Meeting:  
5.4. Nominations from the floor may not be done by proxy. 5.5. Each Nomination, whether in advance of the AGM or from the floor requires two (2) Nominators, all of whom must be members in good standing of ATVBC at the time of the nomination and at the time of the election.  
5.6. A Candidate, and/or the Candidate’s Nominator(s), in good standing at the time of the AGM, having duly signed and sent in their nomination form signed by two members in good standing, may or may not be present at the AGM at the time of the election.      

Call for Club Reports  
Planning for the 2024 AGM is underway and ATVBC is inviting clubs to share details about their club’s activities, successes, and struggles over the past year, and plans for the coming year.  
Your annual club report provides value to ATVBC, other clubs, and assists with ATVBC planning as reporting information identifies needs, best practices and issues of common concern.   Suggested topics could include: 1.    Membership update – growth/decline and identification of reason for growth/decline (to help other clubs realize common issues or identify best practices) 2.    Grants/funding received and project information 3.    Other projects completed or underway
4.    Recognition or similar kudos club has received 5.    Shout-out to volunteers from your club
6.    Upcoming plans for the coming year   While clubs are invited to provide feedback at any time, reports submitted for the ATVBC AGM report are published externally and arrive in time for further discussion after the AGM, at the ATVBC Director/Staff planning meeting (Fall 2024).  
Please submit your report, in writing, to admin@atvbc.ca no later than August 15th, 2024.  
Club Reports will form part of the agenda package that will be distributed several days in advance of the AGM.   Please include contact details for a club representative who will answer questions that arise from the report (before or after the meeting).
